Six unrelated systems — a marketplace reimbursement policy, an enforcement appeal process, a category approval workflow, a customs entry, an accounting basis and an acquisition diligence process — each independently demand the same document. They were built by different organizations for different reasons, and they converged.

01The six

1. Reimbursements. Since March 31, 2025, Amazon reimburses inventory lost before a customer orders at documented sourcing cost. Reported accepted documents: manufacturer, wholesale, purchase and commercial invoices, and Chinese fapiao. Without one, Amazon estimates your cost from comparable products. The union of six independent requirement lists is roughly one page. That is the useful finding: you are not maintaining six document sets. You are maintaining one, properly.

03Why retail receipts fail everywhere

Reporting names them explicitly in two contexts and the reason is the same in all six: a retail receipt records that a purchase occurred. It does not record that the seller was authorized to sell those goods to you.

Every one of these systems is testing the supply chain, not the transaction. A receipt proves you paid money in a shop. An authorized distributor invoice proves the goods reached you through a chain the brand permits.

This is also the real objection to retail and online arbitrage as a long-term model. Not that it is against the rules — it is not — but that the sourcing method structurally cannot produce the document that six systems require. A seller who sources that way is permanently unable to defend an authenticity complaint or clear a brand gate, and that is a business risk rather than a paperwork inconvenience.

04The deadline problem

None of those windows is long enough to obtain a document you did not get at the time. A supplier who was responsive last year may have changed staff. A factory may have closed. An invoice dated eleven months ago is outside the ungating window regardless of whether it exists.

05What to actually do

Ask for the invoice before the first order, not after. Request a sample invoice during supplier qualification and check it against the field list above. This is part of the verification process, and it is the cheapest check in it.

Make it a supplier selection criterion. A supplier who cannot issue a compliant invoice is not merely inconvenient — they are a supplier whose products you cannot reimburse properly, defend in an appeal, use for ungating, or hand to a buyer’s accountant. That is a real cost attached to a cheaper quote.

File per SKU, per purchase, immediately. Named consistently, dated, in PDF. When the request comes, it is retrieval rather than research.

Check the buyer details match Seller Central exactly. Not approximately. This is the most common single point of failure in ungating and it is trivial to fix in advance.

Keep them for seven years. IRS retention guidance is at least three years with seven recommended, and the acquisition use case reaches back 36 months.

Store the compliance documents beside them. Test reports, CPC or GCC, SDS or exemption sheet — see the compliance and hazmat guides. Same folder, same discipline, different regulators.


There is no clever version of this. It is a filing habit that takes minutes per purchase order and, on the evidence of six independent systems, decides more outcomes than any tool you could buy.

Open your last three supplier invoices and check whether your legal business name and address appear exactly as they do in Seller Central. If they do not, ask the supplier to reissue them this week, not when Amazon asks.
